All nannies on Holiday Nannies must upload a valid police clearance certificate before they can be approved and start accepting bookings. This guide explains exactly where to get one in each country where our nannies are based, what to expect, and what to upload.
Philippines — NBI Clearance
The standard police clearance certificate for the Philippines is the NBI Clearance issued by the National Bureau of Investigation. It is widely accepted for employment and platform verification purposes.
- Where to apply: Online at clearance.nbi.gov.ph or in person at any NBI Clearance Centre, SM Business Centre, or LBC branch nationwide.
- Cost: Approximately ₱130–₱170 plus a convenience fee if applying online.
- Processing time: Same day if no hit; 5–15 working days if your name requires additional verification.
- Validity: 1 year from date of issue.
- What to upload: A clear photo or scan of the printed NBI Clearance certificate. Upload the front side showing your name, photo, and the NBI stamp.
Indonesia — SKCK (Surat Keterangan Catatan Kepolisian)
In Indonesia, the police background check document is called the SKCK (Police Record Certificate). It is issued by the Indonesian National Police (Polri).
- Where to apply: Visit your local Polsek (sub-district police station) or Polres (district police station). Bring your KTP (national ID), family card (KK), birth certificate, and 4×6 photographs.
- Cost: Rp 30,000 (government fee).
- Processing time: Usually same day to 3 working days.
- Validity: 6 months from issue date.
- What to upload: Scan or photo of the full SKCK document.
Thailand — Criminal Record Check (หนังสือรับรองความประพฤติ)
Thai nannies can obtain a criminal record certificate from the Royal Thai Police.
- Where to apply: Criminal Records Division, Royal Thai Police Headquarters in Bangkok, or at your provincial police station. Bring your Thai national ID card or passport plus a copy of your household registration (Tabien Baan).
- Cost: ฿100–฿200.
- Processing time: 1–5 working days.
- Validity: Typically 3 months. We accept documents issued within the last 12 months.
- What to upload: Scan of the full certificate with the official police stamp.
Vietnam — Phiếu Lý Lịch Tư Pháp (Judicial Background Record)
In Vietnam, the police clearance equivalent is the Judicial Record (Phiếu Lý Lịch Tư Pháp) issued by the Department of Justice.
- Where to apply: Department of Justice (Sở Tư Pháp) in your province or city, or submit online via the national public service portal (dichvucong.gov.vn).
- Cost: VND 200,000 per certificate.
- Processing time: 10 business days (in-person); 15 business days (online).
- Validity: No fixed expiry. We accept documents issued within the last 12 months.
- What to upload: Scan of the full document.
Malaysia — Good Conduct Letter (Surat Kelakuan Baik)
Malaysian nannies need a Certificate of Good Conduct from the Royal Malaysia Police (PDRM).
- Where to apply: Any Royal Malaysia Police (PDRM) district headquarters (IPD) or apply online via the PDRM e-services portal (www.pdrm.gov.my).
- Cost: RM 30–RM 50.
- Processing time: 3–7 working days.
- Validity: 3 months. We accept documents issued within the last 12 months.
- What to upload: Clear photo or scan of the certificate.
Australia — National Police Check
Australian nannies should obtain a National Police Certificate through the Australian Federal Police (AFP) or an ACIC-accredited provider. If your work involves children, a Working With Children Check (WWCC) is also required and must be uploaded alongside the National Police Check.
- National Police Check: Apply online at afp.gov.au or through an accredited provider such as Checked.com.au, CVCheck, or AusCheck.
- Working With Children Check: Apply through your state or territory authority — e.g. NSW Office of the Children's Guardian, Working With Children Check Victoria (WWCC), QLD Blue Card Services, etc.
- Cost: National Police Check AUD $42–$55; WWCC varies by state (free for volunteers in some states; AUD $80–$130 for paid workers).
- Processing time: National Police Check: 1–15 days. WWCC: 2–6 weeks.
- What to upload: Upload both the National Police Certificate PDF and your WWCC card or certificate.
United Kingdom — DBS Check
UK-based nannies need an Enhanced DBS Check (Disclosure and Barring Service) which covers work with children. A standard DBS is not sufficient — it must be the Enhanced level.
- Where to apply: You can apply through an umbrella body such as Ucheck, Disclosure Scotland, or Access NI (for Northern Ireland). Many local councils and Jobcentres also assist with DBS applications.
- Cost: Enhanced DBS: £38.
- Processing time: 2–8 weeks.
- Validity: DBS checks have no official expiry, but Holiday Nannies requires a check issued within the last 3 years.
- What to upload: Scan of the DBS certificate (both sides if applicable).
Greece, Spain & Europe
For European nannies, the requirement is a national criminal record extract from your country's justice ministry or police authority:
- Greece: Criminal Record Certificate (Ποινικό Μητρώο) from any Citizens Service Centre (ΚΕΠ) or online at ermis.gov.gr. Cost: free. Processing: 1–3 days.
- Spain: Certificate of Criminal Record (Certificado de Antecedentes Penales) from the Ministry of Justice online portal (mjusticia.gob.es). Cost: free. Processing: immediate (online).
Mauritius & Tanzania
- Mauritius: Certificate of Character from the Mauritius Police Force headquarters (Line Barracks, Port Louis). Cost: MUR 85. Processing: 1–3 working days.
- Tanzania: Police Clearance Certificate from Tanzania Police Force headquarters or regional command. Cost: TZS 20,000–50,000. Processing: 5–10 working days.
My country isn't listed — what do I do?
If your country is not listed above, the general principle applies: obtain an official criminal record certificate from your national or local police authority or justice department. The document must:
- Be issued within the last 12 months
- Show your full name and date of birth
- Carry an official government stamp or seal
- State that you have no criminal record (or disclose any relevant history)

Once you have your police clearance certificate, log in to your nanny dashboard and go to the Police Check section. Upload a clear scan or photo of the document (JPG, PNG, or PDF, max 5 MB). Our team will review your document within 1–2 business days and update your verification status.
You can also enter your clearance reference number directly if your document provides one — this speeds up verification.
